How Apex Track Performance uses your information.

This privacy notice explains how Apex Track Performance collects, uses and protects personal information when someone applies for coaching, uses the athlete platform or communicates with the coaching service.

Who we are

Apex Track Performance is a performance-led coaching platform for committed 400m and 800m athletes. The service provides structured training, athlete check-ins, progress tracking, coaching resources and coach-led support.

For privacy questions, contact Apex Track Performance through the official social media accounts or the contact page on this website. If a dedicated business email is added later, this notice should be updated with that email address.

Information we collect

Name and contact details submitted through the coaching application form.
Athlete background, event focus, goals, personal bests and training history.
Training sessions, completion status, progress entries and coaching notes.
Check-in information such as energy, sleep, soreness, motivation, session RPE and athlete notes.
Basic account information needed to provide athlete or coach access.

How we use your information

To review coaching applications and decide whether the coaching setup is suitable.
To provide structured training, athlete monitoring, progress tracking and coach-led support.
To manage athlete access to the private Performance Hub.
To communicate with applicants, athletes and coaches about coaching and app access.
To improve the coaching process, app experience and athlete support workflow.

Lawful basis

Depending on the situation, Apex Track Performance may use personal information because it is needed to review an application, provide coaching services, manage access to the athlete platform, respond to enquiries, or meet legitimate business and administrative needs.

Some information may be provided voluntarily by the athlete, such as notes in check-ins or application answers. Athletes should not submit sensitive medical information unless it is directly relevant to safe coaching decisions.

How information is stored and protected

The platform uses Supabase for authentication and database storage, and Vercel for hosting. Access to athlete information is restricted through login accounts and role-based access controls.

No system can be guaranteed completely secure, but reasonable steps are taken to limit access and keep coaching information protected.

Who information is shared with

Athlete information is used for coaching and platform access. It is not sold to advertisers. Information may be processed by service providers needed to run the platform, such as hosting, authentication and database providers.

Information may also be shared if required by law, safeguarding concerns, or to protect the rights and safety of athletes, coaches or the service.

How long information is kept

Application and athlete information is kept for as long as needed to review applications, provide coaching, manage the athlete account and maintain appropriate coaching records. Information that is no longer needed should be deleted or anonymised where appropriate.

Your rights

Depending on the circumstances and the lawful basis for processing, you may have rights over your personal information.

Ask for a copy of your personal information.
Ask for inaccurate information to be corrected.
Ask for information to be deleted where appropriate.
Ask for processing to be restricted or object to certain uses where applicable.
Withdraw consent where processing is based on consent.

You also have the right to complain to the UK Information Commissioner's Office if you are unhappy with how your personal information is handled.

Changes to this notice

This privacy notice may be updated as Apex Track Performance grows or as the platform changes. The latest version will be shown on this page.
